Data & Scholarship Associate

Since 1990, the Asian Pacific Community Fund (APCF) is the only community-based fund of its kind in Southern California, generating vital resources and funding through various channels to support the rapidly growing Asian Americans, Native Hawaiian, and Pacific Islander (AANHPI) communities. APCF and its growing network of 85 AANHPI agencies provide linguistically and culturally appropriate health and human services to approximately one million residents throughout Los Angeles County and beyond. Programs and services are provided in 35 Asian and Pacific Islander languages plus English and Spanish.

The Asian Pacific Community Fund’s mission is to cultivate philanthropists to invest in community organizations that empower underserved AANHPIs to prosper. We transform lives and meet the diverse needs of AAPIs by
1) building healthier communities, 2) developing leaders, 3) creating a stronger voice, and 4) providing the foundation for a brighter tomorrow.

Job Title: Data & Scholarship Associate

Reports To: Data Manager, in coordination with the Executive Director

Focus Areas: This new Entry Level position administers APCF’s scholarship and grantmaking programs — the awards and grants APCF distributes to students and to community organizations — and maintains the data and online application systems those programs run on.

Salary: $23.00 – $28.00 per hour starting, commensurate with experience and fit. This is a full-time, non-exempt (hourly) position.

Location: In office, five days per week. 1145 Wilshire Blvd., Suite 105, Los Angeles, CA 90017

JOB SUMMARY:

APCF is seeking a detail-driven, highly organized individual to help administer the programs through which APCF distributes scholarships and grants to the AAPI community. This is a hands-on program administration role with a significant data and systems component.

The Associate’s largest area of responsibility is APCF’s scholarship program, which awards funding to low-income students through corporate and foundation partner programs on a single common application. In the most recent cycle, APCF received ~3,500 applications and awarded over $700,000 to students. The Associate will support this full twelve-month cycle — building the application, supporting applicants and high school counselors, preparing applicant data for partner review, tracking selection decisions, administering scholarship renewals, and preparing award letters and check requests — alongside the online applications and registrations for APCF’s grantmaking and capacity-building programs.

Because APCF’s programs run on a shared database and online form tools, the Associate will also maintain constituent and program records and will be trained to build and maintain the forms, connections, and reports those programs depend on. Prior database experience is not required, but a genuine willingness to become confident and comfortable working in these systems is essential.

This position is designed as an Entry Level role. The Associate will work closely alongside the Data Manager and the APCF team through a complete annual program cycle, taking on program areas progressively as their knowledge deepens.

QUALIFICATIONS & REQUIREMENTS:

  • Bachelor’s degree or equivalent experience.

  • Proficiency in spreadsheet management, data, and statistics.

  • Strong proficiency in Microsoft Office, particularly Excel and Word, including comfort working with large spreadsheets, filtering and sorting data, and performing mail merges.

  • Willingness and ability to become confident working in a CRM or database as a core, daily part of the role. Prior Salesforce or database experience is welcome but not required; a real openness to learning it is.

  • Strong written and verbal communication skills, with the confidence to correspond professionally with students, families, school staff, and institutional funders.

  • Ability to manage multiple concurrent projects and deadlines across a year-long program cycle, and to prioritize independently when several deadlines converge.

  • Sound judgment and discretion with confidential student, donor, and organizational information.

  • An independent worker who problem-solves, asks good questions, and follows through without close supervision.

  • Commitment to cultural competence and racial equity, and dedication to APCF’s mission, work, and vision.

  • Successful applicants will be asked to show proof that they can legally work in the US.

Additional Considerations

  • Familiarity with or interest in learning CRM and online form platforms such as Salesforce and FormAssembly, and website tools such as Squarespace.

  • Interest in growing into deeper responsibility for APCF’s program data and systems over time.

  • Understanding of and familiarity with the AANHPI community in Los Angeles County and Southern California Counties.

  • An individual with a growth mindset who understands the importance of this work and is seeking an opportunity to help define what APCF can do as it enters the next generation of giving and philanthropy in the AAPI community.
